Exhibitors and delivery of materials

Delivery times are from 9 a.m. to 4:30 p.m., Monday to Friday.

Goods must only be received and sent via the convention centre’s reception dock St-Roch Street.

The goods must be identified with the name and date of the event, the name of the recipient and their full address and telephone number.

The hotel will not accept boxes that are not properly identified.

The hotel has no equipment or manpower for handling, setting up and shipping goods.

The hotel can provide exhibitors with one 6-foot table and chairs at a cost of $20 per table. The hotel can recommend a supplier for booth separators and any other exhibition equipment.

Basic wireless high-speed internet is free and accessible throughout the hotel and convention centre. A cable connection is available at a rate of $25/day/hookup. For any other internet requests, please contact the event organizer assigned to your group.

For all exhibition booths, the electricity cost is $55/booth for the duration of the event for the installation and use of a 15-amp, 120-volt circuit, including an extension cord. If required, exhibition stands are extra. To get a cost estimate, contact our hotel representative for any other needs.

Tear down and shipping of goods must occur on the same day as the end of the exhibition, or the organization must provide for storage fees for subsequent days.

Any merchandise left at the hotel on the next business day following the exhibition will be shipped by express courier at the owner company's expense.

The user is responsible for protecting the carpets in the exhibition areas. The hotel reserves the right to charge the organization for any damage to wall coverings, doors and carpets as well as to any other hotel property. Any damage caused by an exhibitor is the responsibility of the organization. The only adhesives allowed are green paint tape and white mounting putty.

The elevator’s maximum capacity is 10,000 pounds. The dimensions are:

Labour fees

In the event that the minimum number of persons required to select a menu is not reached, labour costs will be charged to the master account.

A $250 fee will apply for a group of 10 persons or less. For a group of 11 to 25 persons, a $175 fee will apply.

Delta Hotels by Marriott® Trois Rivieres Conference Centre is the exclusive provider of food and bar services in its reception rooms. The customer, their guests or exhibitors may not bring any food or drink (alcoholic or non-alcoholic) onto the premises.

Allergies and specialized meals

The Delta Hotels by Marriott Trois Rivieres Conference Centre team is committed to offering a variety of food options that cater to those with dietary restrictions (allergies, intolerances) or a vegetarian or vegan diet.

Please note that we do not have a separate kitchen to prepare allergen-free items. Although we take measures to minimize the risk of cross-contamination, we cannot guarantee that all our products are safe for persons who are allergic or intolerant to certain ingredients; an allergen may have been inadvertently introduced during preparation, handling or service.

If, at the time of service, the number of alternative meals requested exceeds the number listed on the order form, an additional charge will be applied.

Invoicing policy

The choice of menus must be confirmed 30 days prior to the event. The customer undertakes to guarantee the number of guests 72 hours before the start of an event with 300 attendees or less and 96 hours before events with more than 300 attendees. If no guarantee is given, the estimated number of guests provided at the time of booking will be used as a guarantee and for invoicing.

The customer agrees to pay for the number of guests present or guaranteed. The highest number will be charged. The hotel undertakes to be able to serve up to 2% more of the same meal than the number of guests, up to a maximum of 20 persons, provided that the total number does not exceed the capacity of the reception room. These extra meals will be ready to make in the kitchen and will only be used if necessary.

For any last-minute additions, a fee of 15% of the initial rate will be charged.

All our prices are per person unless otherwise indicated. Taxes (5% GST and 9.975% QST) are applicable on all food and beverage prices as well as a 15% service and administration fee.

The maximum duration of a reception extends from the service start time mentioned in the contract until the end of the coffee service.

Breakfast and lunch: 2 hours maximum Dinner and cocktail: 3 hours maximum

In the event that the time allocated for service and meal clearance is exceeded, a labour charge of $30/hour per server will apply.

Bar

Delta Hotels by Marriott Trois Rivieres Conference Centre reserves the right to close the planned bar(s) during customer activities if traffic is no longer justified. A minimum of $450 in sales per bar and a 4-hour guarantee are required. Any difference will be charged to the master account.

Security

At the customer's request, security guards may be hired. A fee of $40/hour per security guard (plus taxes) will be added to the master account.

For specific events, the Delta Hotels by Marriott Trois Rivieres Conference Centre reserves the right to require the presence of security guards at the expense of the conference.

The organization will be responsible for providing security during booth closing hours. The exhibitor must also have their own liability insurance. The hotel assumes no responsibility for any effects or objects left or lost in the reception rooms or any other room.

When setting up your reception room, all emergency exits, fire equipment cabinets, alarms, stairs and service areas must be clear. The hotel reserves the right to request the removal of any object blocking access to an exit.

Cloakroom

At the client's request, the hotel cloakroom will be open for event participants. To have access to the cloakroom service, the organizing client must commit to ensuring that the minimum income is reached according to the following:

• $50 (25 coats) for all events from 7 a.m. to 5 p.m.

• $100 (50 coats) for all events from 5 p.m. to 2 a.m.

• The cost of the cloakroom is $2 per coat.

Two options are available: cloakroom charges are charged to the master account or as individual payments. In both cases, if the group does not reach the minimum, the difference between use and the minimum will be charged.
